Privacy Policy
We are committed to ensuring the best standards of practice in all our activities. Visitors to our website can be assured that the protection of privacy and confidentiality are given the highest priority. All personal information is collected, held and used in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Balgedie House and Lodge is responsible for the personal information collected and used in connection with our accommodation and booking services.
Information Collected
We do not collect personal information from visitors to our website other than information provided knowingly and voluntarily, or information collected automatically through cookies and similar technologies where applicable.
Visitors interested in requesting more information or making a booking may provide contact details through an enquiry or booking form. This may include names, addresses, email addresses, telephone numbers and information relevant to their booking.
Anonymous statistical information may also be collected, such as the number of visitors to the website or details of properties and dates selected. Cookies and similar technologies may be used by our website provider, PromoteMyPlace, and our booking system provider, SuperControl, in accordance with their respective cookie and privacy policies. Where required, consent will be requested for the use of non-essential cookies.
Use of Information
The information collected will be used to respond to enquiries, administer bookings, process payments, provide information relating to your stay and fulfil our legal obligations.
We process this information where necessary to fulfil a contract with you, take steps at your request before entering into a contract, comply with legal obligations or pursue our legitimate business interests where permitted by law.
Where you have chosen to subscribe to our marketing communications, we may retain your contact details and relevant guest information to contact you by email with news, special offers and information about Balgedie House and Lodge. You can withdraw your consent and unsubscribe at any time.
We will share relevant information with our booking system provider, SuperControl, for the purpose of delivering our booking and accommodation services. For example, SuperControl provides a verified reviews service called UpFrontReviews, through which we may invite you to submit a review of your stay.
We may also share information with other service providers where necessary to operate our website, process payments or administer bookings, and with authorities where required by law. We will never sell your personal information to third parties.
Where personal information is processed or stored outside the UK, we will ensure that appropriate data protection safeguards are in place.
Data Security
We take appropriate measures to safeguard the information we hold from unauthorised access or improper use. Personal information is stored using secure, password-protected systems, and access is restricted to those authorised by us.
Integrity and Retention of Data
We take all reasonable measures to ensure that the information we hold is accurate and up to date.
Guest information is retained for as long as necessary to administer bookings, provide our accommodation services and meet any applicable legal obligations. We do not retain guests' payment card details ourselves.
Where guests have opted in to receive future marketing communications, we may retain their contact details and relevant guest information for this purpose until they withdraw their consent or the information is no longer required. We periodically review the information we hold and securely delete or anonymise information that is no longer necessary.
Individuals may request access to the personal information we hold about them and ask for inaccurate or incomplete information to be corrected.
Under UK data protection law, individuals may also have the right to request deletion of their information, restrict or object to certain processing, request data portability, and withdraw consent where consent is the lawful basis for processing. These rights are subject to applicable legal conditions and exemptions.
Children
Our website is not specifically targeted at children. We do not knowingly collect personal information directly from children for marketing purposes. Where information about children is required in connection with a family booking, it will be used only as necessary to administer the stay.
